Onboarding new and existing tenants 

To ensure a smooth and effective onboarding process for tenants, it's important to gather all necessary information regarding their special rights and privileges. This includes any special booking options, discounts, or unique terms that apply to their tenancy. Additionally, if any tenants belong to certain groups with specific privileges, this should also be clearly communicated.


E.g. It is possible to create offers for existing tenants where they have the right to rent promotional spaces twice a year at a 20% discount.


To onboard existing tenants to Spacewise, they can either be invited to the platform by the organization, sign up by themselves, or imported by bulk. New tenants can be invited to the platform or sign up by themselves. A tenant import file is attached at the bottom of this page.

Tenant groups

The tenant groups feature gives an organization the option to organize tenants. Groups can have unique rules assigned to them. They can allow tenants within that group to make instant bookings, pay by invoice, make same-day bookings, or have access to special discounts.

Existing bookings

Existing bookings can be added manually as blockers in the calendar, or offers can be sent by creating new bookings.

Informing tenants

To maintain positive relationships with tenants and ensure a smooth and seamless experience, it's important to keep them informed throughout the process. This includes providing updates on the onboarding process and informing existing tenants of what to expect, as well as any additional information they may need to provide. Additionally, organizations should proactively communicate any changes to the platform and notify tenants in advance of these updates. Encouraging tenants to sign up for the Spacewise platform can also help to streamline communication and simplify the tenant experience. 


When inviting tenants to the platform, an automated email is sent that invites them to complete their registration by creating a password. Spacewise can also trigger the same automated email for tenants that are imported by bulk.
